Retiring Sage 500 means preserving agreed historical records and usable access before removing the source application dependency. For this scenario, prioritise voucher documents, company context and ledger balances. Compare required reports and documents with source evidence, test permissions and obtain business acceptance before scheduling shutdown.

This guide covers the retirement questions, a mock-data ArchiveHub demonstration and the validation work needed to define a project scope.

What keeping Sage 500 "read-only" really costs

Cost categories are a discovery checklist, not a guaranteed savings calculation. Verify support status, deployment, shared infrastructure and contract terms for the actual installation.

A read-only Sage 500 system costs more than it looks. The cost lines that keep coming back:

  • An ageing Windows and SQL Server stack. The application server, the SQL Server instance and the client workstations all need patching, backups and licences, often on versions that are already out of mainstream support.
  • Client installs and the people who know them. Every lookup needs a working Sage 500 client and someone who remembers which task, which company and which fiscal period to pick. That knowledge leaves with the last power user.
  • Security exposure. An unpatched ERP database full of vendor bank details, employee pay history and customer addresses is a liability, not an archive.
  • Audit-access workarounds. Auditors get screen sharing sessions, exported spreadsheets or temporary logins, and none of these is a controlled, logged way to give access.
  • Maintenance and support fees for software nobody posts to any more.

Retiring the system removes all of these at once. The savings are real, and they vary by estate, so we won't put a number on them.

Scope, versions and evidence

This is an illustrative workflow, not a customer case study. Confirm the source release, deployment, modules, customisations and extraction permissions before using the mappings below. Tables and report labels describe the demonstration catalogue; native-report equivalence has not been independently certified. Use agreed source reports and representative records for acceptance testing.

An archive is not a replacement for every operational feature of the retired ERP. Document required historical tasks, excluded functions and any archive-derived calculations.

Historical data to scope for Sage 500

ArchiveHub doesn't flatten Sage 500 into generic "documents" and "transactions". It keeps the native tables with their native names, so the module prefixes your team knows (tgl, tap, tar, tso, tpo, tim, tpr, tfa, tcm, tci, tsm) still mean what they always meant.

  • General Ledger: tglTransaction holds every posted debit and credit with its source module, journal and batch. tglAcctHist keeps period balances, including the year-end close carried into next year's beginning balances. tglJournal and tciBatchLog hold the journal IDs (GJ, SJ, CR, PJ, CD and the rest) and the batch log behind the Batch Status / Process Register. tglAccount, tglNaturalAcct and tglSegment keep the segmented chart of accounts, and tglBudget and tglBudgetHist keep the budgets.
  • Accounts Payable: tapVendor, tapVoucher and tapVoucherDetl with their GL distribution and PO match, tapVendPmt and tapVendPmtAppl for system checks and their applications (voided checks included), and tap1099Hist for 1099 reporting.
  • Accounts Receivable: tarCustomer and tarCustAddr, tarInvoice and tarInvoiceDetl, tarCustPmt and tarCustPmtAppl, and tarCommission with salesperson and commission plan.
  • Sales Order and Purchase Order: tsoSalesOrder, tsoSOLine, tsoSOLineDist (with quantity still open to ship), tsoShipment, and on the buy side tpoPurchOrder, tpoPOLine, tpoPOLineDist, tpoReceiver and tpoRcvrLine.
  • Inventory Management: timItem, timInventory, timInvtTran, and warehouse bins in timWhseBin and timWhseBinInvt.
  • Payroll, Fixed Assets, Cash Management and Tax: tprEmployee, tprCheckHist and tprCheckHistDetl, tfaAsset and tfaDeprHist, tcmCashTran and tcmBankRecon, and tciSTaxTran with the tax codes and schedules.

In the demonstrated scope, each field keeps its Sage 500 column name and gets a plain-language description. A controller who thinks in GLAcctNo or QtyOpenToShip can write an ad-hoc query in those terms, and a newer colleague can read the descriptions alongside.

Two aging tables, Aged Payables and Aged Receivables, are rebuilt at each quarter end from the vouchers, invoices and payment applications. They are clearly marked as archive-derived, not native Sage 500 tables.

Source documents stay attached

Document types below illustrate the intended scope. Include source attachments and external repositories explicitly, and test retrieval and record linkage before decommissioning.

A record is only half the answer in an audit. The scanned or generated document behind it is the other half. ArchiveHub keeps the archived documents attached to the record they belong to: purchase orders, AP vouchers (the vendor invoice behind the voucher), AR invoices, and the customer, vendor, employee and fixed asset master records. Open the voucher and the PDF is one click away. You don't need to search a shared drive.

Beyond the reports

Confirm these capabilities, configuration requirements and limits during the demonstration and scope review; the report catalogue alone does not validate them.

The out-of-the-box reports cover the everyday questions. For the rest, ArchiveHub offers:

  • An ad-hoc query builder over the configured archived Sage 500 table, with native field descriptions and suggested joins (for example tapVoucher to tapVoucherDetl to tpoRcvrLine).
  • Retention rules and purge with approval, so data leaves the archive when its retention period ends, not before and not by accident.
  • Legal hold to freeze records relevant to a dispute or investigation, whatever the retention rule says.
  • Personal-data governance: agree the lawful retention, access and deletion requirements with the responsible privacy and records teams. Product features alone do not establish regulatory compliance.
  • Access controls: define and test permissions for the required companies, records and sensitive fields. Do not assume that system-level roles reproduce the original ERP permissions, particularly for payroll and HR data.
  • OData feeds into Excel, Power BI and SAP Analytics Cloud for anyone who wants to build their own analysis.

How the decommissioning project runs

  1. Extract. Every company in the Sage 500 database is extracted table by table, keeping native keys and column names.
  2. Validate. Row counts are compared table by table. Balances must tie out: the trial balance from tglAcctHist against the last Sage 500 trial balance, and AP, AR, inventory and cash subledgers against their GL control accounts by period.
  3. Parallel read access. Users work in ArchiveHub while Sage 500 is still available, and compare the reports in scope and document any differences.
  4. Retire after acceptance. Obtain documented sign-off for data reconciliation, document retrieval, user access, retention and legal holds, recovery and remaining integrations. Retire only the approved components; shared infrastructure may still be needed. End or reduce subscriptions, licences and support only where the contract permits. Budget for archive operation and any residual costs.

Retire Sage 500 with confidence

Your Sage 500 history doesn't need a Sage 500 server to stay useful. Keep the tables, the reports and the documents. Switch off the rest.

Questions about Sage 500 retirement

What should an old Sage 500 voucher lookup include?

Test the voucher, supplier, payment or settlement context and available source document. Define which relationships are needed for audit use rather than treating a PDF alone as the complete record.

What should the final finance comparison cover?

Agree companies, periods, accounts and currencies, then reconcile archived results to retained source reports. Document opening balances, movements and exceptions instead of relying only on record counts.

What does this ArchiveHub demonstration prove?

The screenshots illustrate how selected records can be presented using mock data. They do not prove production completeness, customer outcomes or parity with every Sage 500 report. Request a demonstration against your own approved scope and acceptance cases.
