Retiring Deltek Costpoint means preserving agreed historical records and usable access before removing the source application dependency. For this scenario, prioritise project costs, labour records and indirect-rate evidence. Compare required reports and documents with source evidence, test permissions and obtain business acceptance before scheduling shutdown.

This guide covers the retirement questions, a mock-data ArchiveHub demonstration and the validation work needed to define a project scope.

What keeping Costpoint "read-only" really costs

Cost categories are a discovery checklist, not a guaranteed savings calculation. Verify support status, deployment, shared infrastructure and contract terms for the actual installation.

  • Licences or a hosted subscription for a system nobody posts to, renewed so the auditors can see old years.
  • Infrastructure and database administration for an on-premises install, or a cloud contract that has to stay current, with patching and backups either way.
  • Specialist knowledge. The few people who understand pool structures, Compute Burden Costs and Statement of Indirect Expenses (SIE) output are expensive to keep and hard to replace.
  • Audit-access workarounds. Auditors ask for timesheet history, labour distribution or unallowable cost detail, and someone exports it by hand each time, with no reliable record of what was handed over.
  • Security and compliance overhead on a system holding employee salary history, payroll taxes and vendor banking data.

Retiring Costpoint removes these lines. The size of the saving depends on your contract and hosting, so we keep it qualitative.

Scope, versions and evidence

This is an illustrative workflow, not a customer case study. Confirm the source release, deployment, modules, customisations and extraction permissions before using the mappings below. Tables and report labels describe the demonstration catalogue; native-report equivalence has not been independently certified. Use agreed source reports and representative records for acceptance testing.

An archive is not a replacement for every operational feature of the retired ERP. Document required historical tasks, excluded functions and any archive-derived calculations.

Historical data to scope for Deltek Costpoint

ArchiveHub keeps the Costpoint data model, the account / organisation / project structure and the indirect rate machinery included. The _HS history tables keep their names:

  • General Ledger: GL_DETL with every posted line from every journal, by source journal code and posting sequence, and GL_POST_SUM by fiscal year, period, subperiod, account, organisation, project and journal. ACCT, ORG (company / division / department) and JE_HDR_HS / JE_TRN_HS for journal entries.
  • Projects and contracts: PROJ with contract and task levels, PROJ_REV_DEFN for the revenue formula, fee and fee withhold, PROJ_LAB_CAT with billing rates, PROJ_BUD, PROJ_SUM and PROJ_BURD_SUM for the indirect costs applied by pool.
  • Indirect rates: POOL_ALLOC for the fringe, overhead and G&A pool definitions, POOL_COST_ACCT and POOL_BASE_ACCT, POOL_RT with actual rates against target and provisional billing rates, and POOL_SIE_SUPPORT behind the Statement of Indirect Expenses.
  • Labour: TS_HDR_HS and TS_LN_HS for timesheet history, correcting timesheets included, with GENL_LAB_CAT and BILL_LAB_CAT for general and billing labour categories.
  • Payables and receivables: VCHR_HDR_HS, VCHR_LN_HS and VCHR_LN_ACCT_HS, VEND_CHK and VEND_CHK_VCHR, OPEN_AP, AR_HDR_HS, AR_DETL_HS, PROJ_BILL_HS, and cash receipts in CASH_RECPT_HDR_HS and CASH_RECPT_TRN_HS.
  • People and assets: EMPL, EMPL_LAB_INFO (effective-dated salary history), EMPL_EARNINGS, ASSET and FA_DEPR_HS. Purchasing sits in PO_HDR and PO_LN, vendors and customers in VEND, VEND_ADDR, CUST and CUST_ADDR.

In the demonstrated scope, each field keeps its Costpoint column name and gets a description, so someone who knows S_JNL_CD and POST_SEQ_NO can query in those terms. The quarter-end A/P and A/R aging tables are rebuilt from voucher, check and AR history, and they are marked as archive-derived, not native Costpoint tables.

Source documents stay attached

Document types below illustrate the intended scope. Include source attachments and external repositories explicitly, and test retrieval and record linkage before decommissioning.

Auditors ask for the paper behind the number. ArchiveHub keeps the archived documents linked to the records they support: vendor invoices behind AP vouchers, customer bills, purchase orders and subcontracts, contracts, bank statements, and the employee, vendor and fixed asset records. A questioned cost can be traced from the GL line to the voucher and on to the vendor's invoice in a few clicks.

Beyond the reports

Confirm these capabilities, configuration requirements and limits during the demonstration and scope review; the report catalogue alone does not validate them.

  • Ad-hoc query builder over all archived Costpoint tables, with native field descriptions and suggested joins (for example TS_LN_HS to PROJ to PROJ_LAB_CAT).
  • Retention rules with approved purge, so contract records leave the archive only when their retention obligations have run out, and only after sign-off.
  • Legal hold on contracts, projects or fiscal years under audit, dispute or claim.
  • Personal-data governance: agree the lawful retention, access and deletion requirements with the responsible privacy and records teams. Product features alone do not establish regulatory compliance.
  • Access controls: define and test permissions for the required companies, records and sensitive fields. Do not assume that system-level roles reproduce the original ERP permissions, particularly for payroll and HR data.
  • OData feeds to Excel, Power BI and SAP Analytics Cloud for rate analysis or audit support packages.

How the decommissioning project runs

  1. Extract. All companies, fiscal years and history tables are extracted with native keys and column names.
  2. Validate. Row counts are compared per table. The trial balance must tie to Costpoint's by period, period 13 included. A/P, A/R, unbilled, fixed asset, labour and payroll subledgers must tie to their control accounts, and pool rates and burden must match what Costpoint computed.
  3. Parallel read access. Accounting, contracts and the people who support government audits work in ArchiveHub while Costpoint is still available, and sign off the agreed report test cases, including documented differences.
  4. Retire after acceptance. Obtain documented sign-off for data reconciliation, document retrieval, user access, retention and legal holds, recovery and remaining integrations. Retire only the approved components; shared infrastructure may still be needed. End or reduce subscriptions, licences and support only where the contract permits. Budget for archive operation and any residual costs.

Keep the audit trail, not the system

The audits will keep coming, long after the last timesheet. Evaluate archive operating costs, administration and specialist support alongside the reporting and evidence requirements.

Questions about Deltek Costpoint retirement

What should support an archived indirect-cost result?

Retain the agreed source records, rate context, calculation assumptions and comparison outputs. An archive should make the basis explainable; a displayed total alone is not sufficient evidence.

Does archiving make Costpoint history audit-approved?

No automatic audit approval follows from moving data. Agree evidence requirements with the responsible accounting and compliance teams, and validate access to the required contract and period records.

What does this ArchiveHub demonstration prove?

The screenshots illustrate how selected records can be presented using mock data. They do not prove production completeness, customer outcomes or parity with every Deltek Costpoint report. Request a demonstration against your own approved scope and acceptance cases.
